1. Online NOMINATION FORM

Make sure that your coordinator has successfully submitted your nomination. Without the official nomination from your sending institution, we will not be able to continue with your application process.

2. Learning Agreement and the Portal account

Please use our course catalogue.

If your home institution is connected to EWP, create your online learning agreement OLA in your home university system. It has to be electronically signed by you and your home coordinator and sent via the EWP network to the University of Pardubice (UPCE). When the UPCE coordinator signs the OLA electronically, it means that you will be accepted to the mobility at UPCE.
Please log in to our Portal system with your email (that you used in OLA), verify, and complete your data.

If your home institution is not connected to EWP, you have to create your student account in our Portal system manually. Also, you have to upload a scanned copy of the learning agreement, signed by your home university coordinator and by you (you can upload documents at the end of the section 'Incoming study visit'). You will find the learning agreement form here. The UPCE faculty coordinator signs your LA and uploads the final version, including all signatures.

3. REQUIRED DOCUMENTS to be attached in the part "Attachments" (bottom right side of your Portal account)

Please note that you will be asked to provide us with the following attachments later on:

1 – Certificate of your English language competence

  • Upload the certificate issued by the University language department of your home institution or any other international certificate as an attachment to your Portal account.
  • At least B2 English Proficiency Level is required
  • Use „English certificate“  for the title of the uploaded file!!!

2 – Passport photo

  • Upload your photo – it will be used for the student ID card
  • Use „Photo“ for the title of the uploaded file!!!
  • Ideal photo: colorful face photo in the passport format
  • If you don´t upload your photo to your account, we won´t be able to make your student ID card, which is necessary to access university buildings, get online on campus, access the university canteen, etc.

Please do not send us any documents by email. 

The application procedure (LA duly signed via EWP; uploaded attachments) has to be accomplished by the deadlines indicated below

Winter semester
10. 5. 2025 (visa students)
30. 6. 2025 (EU students)

Summer semester
10. 10. 2025 (visa students)
30. 11. 2025 (EU students)

In case your faculty has set up its own supplementary requirements within the application procedure (for ex., Skype meeting, supplementary language examination, etc), you will be informed about it by the faculty coordinator.

Before your arrival, we will send you an information email indicating more details about the Orientation week, ESN Pardubice (Buddy system), leisure time activities, etc.

VISA APPLICATION PROCEDURE (more info here)

In case you are obliged to apply for a visa to enter the Czech Republic, we recommend that you get information concerning the concrete requirements directly from the Czech Embassy/Consulate in your home country. Please note that the visa procedure takes 60 days, so make sure you arrange your appointment at the Embassy on time; otherwise, you will not be able to start the semester on time!

After submitting your application as well as all required documents, our International Office will send you the required documents for your visa application:

  1. Confirmation of Acceptance (Potvrzení o přijetí ke studiu – in Czech) - issued by the International Office
  2. Accommodation Agreement (Smlouva o smlouvě budoucí – in Czech; English version just for information is here) - issued by the Dormitory office
  • To be able to issue this document, we need you to pay the deposit for accommodation at the dormitories as soon as possible.
  • You will get all the necessary information concerning the bank account data by email from the dormitory officer,
  • For further enquiries regarding accommodation, do not hesitate to contact iskam@upce.cz

The above-mentioned documents will be sent to the International Office of your home university by regular post, that is why it is important to give the correct information about the postal address of your university. You can also order express delivery service to pick up the letter from our office. This service will be at your expense.

As the official visa procedure takes 60 days, we recommend that you upload all required documents to your Portal account as soon as possible to ensure you receive the visa documents on time. You are also asked to arrange your appointment at the Embassy as soon as possible (June is recommended for the winter semester; November for the summer semester).

ACCOMMODATION AND CATERING

After getting your LA duly approved, you can book the accommodation in the University dormitories. 

Your accommodation coordinator is Ms. Martina Rösslerová (iskam@upce.cz).
