We kindly ask you to go through the following steps.
1. Online NOMINATION FORM
Make sure that your coordinator has successfully submitted your nomination. Without the official nomination by your sending institution we will not be able to continue your application process.
2. Online APPLICATION FORM – student account in the Portal system
A - PORTAL ACCOUNT
- Go to the page of our Portal system
- ECTS arrival – enter your email address (which you will be using for all the communication with our university) for your verification. Go to the weblink sent to your email afterwards, and then you will be on the Portal and can fill in the registration.
- Complete the section Personal data and click on „Add incoming study visit“!
- Remember your assigned Birth Code, you will need it several times later and during your stay in Pardubice.
- Click on the section Incoming study visit and complete it:
- Expected date of arrival/departure (complete expected dates of your stay - IMPORTANT!!)
- Academic year - 2026/27
- Funding – Erasmus (51) or Other form of short-term study mobility (69)
- Travel type: semester(s) / virtual component (only if applicable)
- Incoming st. visit type - Internship
- Accommodation – put „yes“ only if you want a place at the university dormitory
- Complete the data about your Home institution.
B - LEARNING AGREEMENT (LA)
- Create your learning agreement
- Contact your faculty coordinator (see the list below)
- Indicate the content of your internship
- Sign the LA
- Let it be signed by your sending institution

Please note that you will be asked to provide us with the following attachments later on:
1 – Certificate of your English language competence
- Upload the certificate issued by the University language department of your home institution or any other international certificate as an attachment to your Portal account.
- At least B2 English Proficiency Level is required
- Use „English certificate“ for the title of the uploaded file!!!
2 – Passport photo
- Upload your photo – it will be used for the student ID card
- Use „Photo“ for the title of the uploaded file!!!
- Ideal photo: colorful face photo in the passport format
- If you don´t upload your photo to your account, we won´t be able to make your student ID card, which is necessary to access university buildings, the canteen, get online on campus, etc.
In case your faculty has set up its own supplementary requirements within the application procedure (for ex., Skype meeting, supplementary language examination, etc), you will be informed about it by the faculty coordinator.
Before your arrival, we will send you another information email with more details about the Orientation week, the ESN Pardubice (Buddy system), leisure-time activities, etc.
VISA APPLICATION PROCEDURE (more info here)
If you are required to apply for a visa to enter the Czech Republic, we recommend that you obtain information on the specific requirements directly from the Czech Embassy/Consulate in your home country. Please note that the visa procedure takes 60 days, so make sure you arrange your appointment at the Embassy on time, otherwise you will not manage to start the semester on time.
After submitting your application as well as all required documents, our International Office will send you the required documents for your visa application:
- Confirmation of Acceptance (Potvrzení o přijetí ke studiu – in Czech) - issued by the International Office
- Accommodation Agreement (Smlouva o smlouvě budoucí – in Czech; English version just for information is here) - issued by the Dormitory office
- To be able to issue this document, we need you to pay the deposit for accommodation at the dormitories as soon as possible.
- You will get all the necessary information concerning the bank account data by email from the dormitory officer,

The above-mentioned documents will be sent to the International Office of your home university by regular post, so it is important to provide the correct postal address of your university. You can also order express delivery service to pick up the letter from our office. This service will be at your expense.
As the official visa procedure takes 60 days, we recommend that you upload all required documents to the Portal account as soon as possible to get the visa documents on time. You are also asked to arrange your appointment at the Embassy as soon as possible (June is recommended for the winter semester; November for the summer semester).
You can get more information about the visa application procedure at the Czech Embassy or consulate in your home country, or consult the website of the Ministry of the Interior.
ACCOMMODATION AND CATERING
After getting your LA approved by the faculty coordinator, you will receive an automatic email with all the necessary information regarding your accommodation booking in the University dormitories. More information concerning accommodation can be found on the website of the University Accommodation and Catering Service.
